Answers, screens, routes and announces incoming telephone calls taking detailed, legible and accurate messages. Provides administrative assistance including accounts payable assistance, filing, handling incoming and outgoing mail and ordering office supplies. Sets up new loans in loan origination
Primary Duties and Responsibilities:
Opens office in the morning, retrieves and redirects voice mail messages and activates phones.
Answers, routes and screens phone calls taking detailed and accurate phone messages.
Pleasantly greets and announces all visitors, with the utmost professionalism.
Provides accounts payable assistance.
Opens, date stamps and distributes mail and handles overnight carrier shipments.
Operates and maintains postage meter including monitoring and resetting postage.
Organizes and maintains departmental filing system.
Maintains schedules, books meetings and makes travel arrangements.
Types letters and reports, inputs data and creates spreadsheets as needed by departmental staff.
Restocks paper in fax machines and copiers.
Transmits fax documents and distributes rate sheets and weekly flow sheets.
Orders and maintains office supplies, stationary, business cards and mortgage forms.
Maintains supplies of short applications and full loan kits.
Inputs and sets up new loans in loan origination system.
Assists processing staff with filing and maintains lender information files and project files.
Updates Homebuilder Directory and Community Listing.
Maintains clean appearance of the office.
In addition to the above, each associate will be required to cross train for position(s) within the division organization structure as may, from time to time, be required by the Division President.
Education and Experience Requirements:
High school diploma or equivalent
Minimum 3 years secretarial experience - office administration preferred
Excellent computer skills - good knowledge of Word and Excel
Typing 50 wpm
Regular interaction with Home Building Division and Mortgage Division staff, sales associates, prospective-home buyers and lender representatives.
Must possess positive and professional attitude and represent company in a positive manner
Provide outstanding customer service, work well under pressure and be a team player
Must have excellent oral communication skills
Must have excellent telephone manner
Must have excellent interpersonal skills
Understand and follow posted work rules and procedures
Accept constructive criticism
Requires the ability to operate a personal computer, fax machine, copier, climb stairs, bend, stoop, reach, lift, move, and carry materials and supplies weighing 20 pounds or less. Finger dexterity is required to operate a computer keyboard.
